To give small service business operators the tools their hard work deserves — simple, affordable software built by someone who grew up in the industry, for the people still working in it.
By creating an account or using GroundOps ("the Service," "the Enterprise"), you agree to be bound by these Terms of Service. If you do not agree, do not use the enterprise. These terms apply to all users including subscribers, free trial users, and anyone accessing the enterprise in any capacity.
GroundOps Software LLC is a Limited Liability Company organized under the laws of the State of Alabama. We operate a web-based business operations dashboard designed for small service businesses including but not limited to pest control, lawn care, HVAC, pool service, and cleaning companies. The enterprise provides tools for customer management, service scheduling, route planning, business reporting, and related operational tasks.
GroundOps is a software tool. It is not a financial advisor, accountant, legal advisor, scheduling authority, or compliance authority. All decisions made using the enterprise remain solely the responsibility of the operator.
You must provide accurate and complete information when creating your account. You are responsible for maintaining the security of your login credentials. You must notify us immediately at hayden@getgroundops.com if you suspect unauthorized access to your account. GroundOps is not liable for any loss resulting from unauthorized account access caused by your failure to maintain credential security.
Access to GroundOps requires a paid subscription at the rate displayed at the time of purchase. Subscriptions are billed monthly on a recurring basis through Stripe. By subscribing you authorize recurring charges to your payment method until you cancel. Prices may change with 30 days advance notice.
You may use GroundOps solely for your own legitimate business operations. You may not:
You own all data you upload to GroundOps. By uploading data you grant GroundOps a limited license to store and process that data solely for the purpose of providing the service to you. We do not sell your data. We do not use your customer data for marketing purposes. Upon account termination you may request export of your data within 30 days.
GroundOps is provided on an "as available" basis. We make reasonable efforts to maintain enterprise availability but do not guarantee uninterrupted access. Planned maintenance, hosting provider outages, or technical failures may result in temporary unavailability. GroundOps is not liable for business losses resulting from enterprise downtime.
To the maximum extent permitted by law, GroundOps and its owners shall not be liable for any indirect, incidental, special, consequential, or punitive damages including but not limited to lost revenue, lost customers, missed appointments, data loss, or business interruption arising from your use of or inability to use the enterprise.
Our total liability to you for any claims arising under these terms shall not exceed the amount you paid for the service in the three months preceding the claim.
You agree to indemnify and hold harmless GroundOps and its owners from any claims, damages, losses, or expenses arising from your use of the enterprise, your violation of these terms, or your violation of any applicable law or regulation.
We reserve the right to suspend or terminate your account for violation of these terms, non-payment, or conduct harmful to other users or the enterprise. You may cancel your subscription at any time. Termination does not entitle you to a refund except as described in our Refund Policy.
These terms are governed by the laws of the State of Alabama and the United States. GroundOps Software LLC is organized under Alabama law. Any disputes shall be resolved in a court of competent jurisdiction unless otherwise agreed in writing.
We may update these terms at any time. Continued use of the enterprise after changes constitutes acceptance. We will notify users of material changes via email with at least 14 days notice.

Your data is stored in a secure cloud database with row-level security ensuring your data is only accessible by your account. All data is transmitted over encrypted HTTPS connections. We follow industry standard security practices. No system is completely secure — in the event of a data breach we will notify affected users within 72 hours of discovery.
GroundOps Software LLC retains different categories of data for different periods based on legal, compliance, and operational requirements. The following retention schedule applies:

Upon account cancellation or deletion request your operational data (customers, service history, routes) is queued for deletion within 30 days. Records subject to the retention schedule above are retained for their applicable periods regardless of account status. GroundOps is intended for business use by adults. We do not knowingly collect information from anyone under 18 years of age.
California residents have additional rights under the California Consumer Privacy Act including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information. We do not sell personal information. To exercise your California privacy rights contact hayden@getgroundops.com.
We may update this Privacy Policy at any time. Material changes will be communicated via email with at least 14 days notice.
GroundOps is offered as a monthly recurring subscription at $49.00 per month. Your subscription begins immediately upon payment and renews automatically each month on the anniversary of your start date.
You may cancel your subscription at any time by contacting hayden@getgroundops.com or managing your subscription through the billing portal. Cancellation takes effect at the end of your current billing period. You will retain access to the enterprise until the end of the period you have paid for.
We offer a full refund within 7 days of your initial purchase if you are not satisfied with the enterprise. After 7 days refunds are issued at our discretion on a case-by-case basis. Refund requests should be sent to hayden@getgroundops.com with your account email and reason for the request.
We do not offer partial refunds for unused portions of a billing period following cancellation.
When a free trial is offered it will be clearly communicated at the time of signup. No charge is made during the trial period. Trials convert to paid subscriptions automatically unless cancelled before the trial end date.
We reserve the right to change subscription pricing with 30 days advance notice. Existing subscribers will be notified by email before any price change takes effect.
If a payment fails your account may be suspended until payment is resolved. We will notify you by email if a payment fails. You have 7 days to update your payment method before account suspension.

Any references to potential business improvements, recovered revenue, time savings, or operational efficiencies on our website, in marketing materials, or in sales conversations are illustrative examples only. Individual results will vary significantly based on how the enterprise is used, the nature of your business, your customer base, local market conditions, and many other factors outside our control.
Statements such as "one recovered service call pays for the subscription" or "most operators miss 5-10 follow-ups per month" are based on general industry observations and are provided for illustrative purposes only. These figures are not guaranteed outcomes and should not be relied upon as a basis for financial or business decisions.
The value you receive from GroundOps depends entirely on how consistently and correctly you use the enterprise. GroundOps provides tools — the outcomes of using those tools depend on your effort, your business practices, and factors unique to your operation.
GroundOps is provided on an "as available" basis. Technical limitations, planned maintenance, hosting provider outages, or unforeseen failures may result in temporary unavailability of the enterprise or specific features. GroundOps does not guarantee uninterrupted access and is not liable for any business losses, missed appointments, or revenue impact resulting from enterprise downtime or technical limitations. We make reasonable efforts to minimize disruption and communicate outages promptly.
Nothing in GroundOps or its associated materials constitutes financial advice, business consulting advice, legal advice, or tax advice. For professional guidance consult a qualified advisor in the relevant field.
GroundOps allows you to import data exported from QuickBooks accounting software. GroundOps is not affiliated with, endorsed by, or officially integrated with Intuit or QuickBooks. The import feature processes CSV files that you export from QuickBooks manually.
GroundOps is not responsible for the accuracy of data imported from QuickBooks or any other source. We process the data as provided. If your QuickBooks data contains errors those errors will be reflected in GroundOps. You are responsible for verifying the accuracy of all imported data.
Reports generated by GroundOps using imported data are for operational planning purposes only. They are not audited financial statements, tax documents, or official accounting records. Do not use GroundOps reports as a substitute for proper bookkeeping or tax preparation. Consult a qualified accountant for all financial reporting and tax obligations.
GroundOps does not maintain a live connection with QuickBooks. Data is only updated when you manually export from QuickBooks and import into GroundOps. GroundOps is not responsible for discrepancies caused by data that has not been re-imported following changes in QuickBooks.
Import failures may occur due to file formatting issues, column name mismatches, or data encoding problems. GroundOps is not liable for data loss or corruption resulting from failed imports. We recommend maintaining your original QuickBooks data independently of GroundOps.
Route planning, scheduling suggestions, customer prioritization, and service date recommendations provided by GroundOps are advisory tools only. They are designed to assist your operational planning — not to replace your professional judgment.
You remain solely responsible for all operational decisions including but not limited to:
Route optimization relies on address geocoding provided by OpenStreetMap. Geocoding results may be inaccurate for rural addresses, new developments, or addresses with formatting variations. Always verify routes independently before relying on them for business operations.
GroundOps is not liable for missed service appointments, customer dissatisfaction, or revenue loss resulting from inaccurate scheduling suggestions, route errors, or enterprise unavailability.
GroundOps is intended for legitimate business operations by small service businesses. You may use the enterprise to manage your customers, plan your service routes, track your service history, and generate business reports.
You may not use GroundOps to:
Violation of this Acceptable Use Policy may result in immediate account suspension or termination without refund. We reserve the right to report illegal activity to appropriate authorities.
If you use GroundOps to send emails to your customers you are responsible for compliance with the CAN-SPAM Act and any other applicable email marketing laws. You must only send emails to customers who have provided their contact information to your business directly. GroundOps is not responsible for email communications sent through the enterprise.
